Google Analytics 4 is free, but a default install tells a service business very little. It counts visits, but not the things that matter — enquiries, calls, bookings — and some of its default settings quietly throw data away. Most GA4 accounts I audit have the tracking code installed and almost nothing else configured.

This is the checklist I work through for coaches, clinics, agencies and other service businesses. It takes an afternoon, and it’s the difference between “we get traffic” and “we know which campaigns bring enquiries”.

The checklist at a glance

Four-stage GA4 checklist — foundations, key events, connections and reporting — with the main tasks in each stage.

Stage 1: Foundations

1. Install GA4 properly. Use Google Tag Manager (or your website platform’s built-in GA4 integration) rather than pasting code into random pages. Tag Manager makes every later step easier.

2. Check the tag fires on every page. Use GA4’s Realtime report or Tag Assistant and click through the site — including thank-you pages and any booking pages hosted elsewhere.

3. Set data retention to 14 months. In Admin → Data collection and modification → Data retention. The default is 2 months, which limits how far back your detailed explorations can go. This is the single most commonly missed setting.

4. Filter internal traffic. Define your office or team IP addresses as internal traffic and activate the filter, so your own visits don’t inflate the numbers.

5. Check enhanced measurement. In the web data stream, make sure page views, scrolls, outbound clicks, site search and form interactions are switched on — then check they’re actually recording sensibly. Automatic form tracking doesn’t work on every form builder.

6. Set up consent properly. If you have visitors from the UK or EU, use a cookie banner that supports Google Consent Mode, so GA4 respects consent choices and can model some of the missing data.

Stage 2: Track what matters — key events

GA4 calls important conversions key events. For a service business, these are usually:

  • Enquiry form submitted — ideally tracked by a thank-you page view or a confirmed form-success event, not just a button click.

  • Booking made — a discovery call or appointment booked through Calendly, a CRM calendar or a booking tool.

  • Phone number clicked — clicks on tel: links, especially from mobile.

  • WhatsApp or email clicks — clicks on wa.me and mailto: links.

  • Lead magnet or webinar sign-ups.

Create each event (in Tag Manager or with GA4’s event rules), test it, then mark it as a key event in Admin → Events. Keep the list short. If everything is a key event, nothing is.

One common trap: booking tools hosted on another domain. If the booking happens on a third-party page, check whether the tool can send an event or redirect to a thank-you page on your own site — otherwise those bookings won’t appear in GA4.

Stage 3: Connect your other tools

7. Link Google Search Console. This brings organic search queries and landing page data into GA4, so you can see which searches lead to enquiries.

8. Link Google Ads (if you run ads). Import your GA4 key events into Google Ads so campaigns can optimise for real enquiries, not just clicks.

9. Use UTM tags on every campaign link. Meta Ads, email newsletters, social bios, partner links — tag them all with utm_source, utm_medium and utm_campaign. Without UTMs, a lot of paid and social traffic lands in “Direct” or “Unassigned”, and you can’t tell which campaign worked.

10. Agree on one naming convention. Write it down — for example, lowercase, “meta” not “Facebook/facebook/fb”. Inconsistent names split one channel into several rows in your reports.

Stage 4: Reporting you’ll actually read

11. Build one simple report. Traffic by channel, key events by channel, and key events by landing page. That’s enough for most service businesses to make decisions.

12. Create a dashboard if the client needs one. Looker Studio connects to GA4 for free. A single page with enquiries, cost per enquiry (with ad spend added) and top landing pages is more useful than a dozen charts.

13. Review monthly. Set a recurring reminder. Look at which channels and pages bring enquiries, not just visits.

How to test everything works

Before calling the setup done:

  • Submit your own test enquiry and check it appears as a key event in Realtime or DebugView.

  • Click the phone and WhatsApp links on your mobile.

  • Visit the site from a UTM-tagged link and check the source and medium appear correctly.

  • Check the internal traffic filter is active (not left in testing mode).

Key takeaway

GA4 only becomes useful when it tracks enquiries, not just visits. Set retention, define key events and tag your campaigns — then the reports start answering real questions.

FAQ

Is GA4 enough for a small service business?
For most, yes — combined with Google Search Console and whatever reporting your ad platforms provide. Add a CRM report if you want to track which enquiries turned into paying clients.

Why don’t GA4 numbers match my ad platform numbers?
They count differently: different attribution models, consent choices, ad blockers and time zones all cause gaps. Use each platform to compare trends over time rather than expecting the totals to match exactly.

Do I need Google Tag Manager?
It isn’t required, but it makes adding and testing events much easier — especially for click tracking on phone and WhatsApp links.

How long until GA4 data is useful?
Realtime data appears immediately, but give it at least a few weeks of clean tracking before making big decisions from the reports.
